Why QuickBooks files gas station purchases under Meals, and how to fix it

By Landon Fields · October 3, 2026

When I connected the Fields For Fields bank account to QuickBooks Online, a few of my fuel stops came in categorized as Meals. It only happened a few times and it wasn't a lot of money, but it's the kind of mistake that's easy to miss, and it adds up if nobody is looking. Here's why it happens and how to fix it.

Why QuickBooks gets it wrong

QuickBooks suggests a category for every transaction that comes in from your bank feed. Intuit says those suggestions are based on the bank description and your own transaction history, and when QuickBooks is confident enough, it fills the category in for you.

The trouble is that a lot of gas stations are also convenience stores, and some truck stops have a restaurant inside. The bank description usually shows just the store name and location. Nothing in it says whether you bought diesel or a sandwich, so QuickBooks makes its best guess, and sometimes that guess is Meals.

Why it matters

  • Your fuel cost looks lower than it really is, and your meals cost looks higher. If you watch what it costs to keep your trucks and equipment running, that number is off.
  • Meals and vehicle costs are treated differently at tax time, so your tax preparer needs them in the right place. Ask them how they want each one recorded.
  • One wrong category is small. Months of them make your profit and loss harder to trust.

How to fix the ones already in QuickBooks

  1. Open your Profit and Loss report and click the amount next to Meals to see every transaction in it.
  2. Look for gas station names, especially the places where you usually fill up.
  3. Open each one and change the category to your fuel or vehicle account.
  4. If one charge was part fuel and part food, check the receipt and split the transaction. QuickBooks lets you divide one charge across more than one category.

That's what I did with the Fields For Fields charges. There were only a few, so recategorizing them by hand was the quickest fix.

How to keep it from happening again

  • Check the category before you accept each transaction in the bank feed. Intuit says QuickBooks learns from your changes, so fixing it the first time helps the next one.
  • If you only ever buy fuel at a certain station, set up a bank rule. Open Rules in QuickBooks, choose New rule, set it to money out, add a condition such as "Description contains" and the station's name, and set the category to your fuel account. Leave auto-post off at first, so you still see each charge before it's added.
  • If you sometimes buy food at the same station, don't let a rule decide for you. Pay for the food separately, or keep the receipt and split the charge.

When it's worth getting help

If you're finding fuel in Meals, it's worth checking your other categories too. A QuickBooks cleanup goes through the whole file.
