How we handle your information

This policy explains how Vendural LLC ("Vendural", "we", "us") handles your information: a plain-language summary of what we collect, why we collect it, and the control you keep over it.

Referral partners

If a tax or accounting firm sent you to us through their referral link, we record which firm referred you. When a firm signs up as a referral partner, we collect the contact details they give us to send their link and keep in touch about referrals.

What we collect

Contact details you submit (name, business name, email, phone), the monthly transaction volume you select, and any files you attach to an inquiry.

How we use it

To respond to your inquiry, provide a quote, deliver bookkeeping work, and manage your sign-up and agreement. We do not sell your information or use it for advertising.

Website analytics

We use Google Analytics to understand how visitors use this site, such as pages viewed, device type, approximate location and how you found us. Google Analytics uses cookies. If we run Google ads, we also use it to measure whether ads lead to sign-ups. You can opt out with Google's Analytics opt-out browser add-on.

Payments

Payments are handled by Stripe. Card and bank details go straight to Stripe; we never see or store your full card or bank account numbers.

Sign-up and e-signature records

Quote, sign-up, intake and e-signature records, including the IP address and browser used when you sign, are stored securely in our website's database. Documents you email us are used only for your bookkeeping and kept with your records.

Bank access

We never ask for or store your online banking usernames and passwords. Transaction data reaches us through bank feeds inside QuickBooks Online, which you authorize and can revoke at any time.

Storage and security

Inquiry, quote and sign-up records and signed agreements are held in access-controlled storage. Only the team members working on your engagement can access your file, and access is removed when the engagement ends.

Sharing

We share information only with the service providers listed below, or when required by law. Your tax preparer or payroll provider receives information only when you ask us to send it.

Scheduling

When you book a call, we use Calendly to schedule it. Calendly receives the name, email and short price summary you share when booking, and handles the booking under its own privacy policy.

Price estimates

When you ask for a price, we use an AI service (Anthropic) to help prepare your estimate message and our call notes from the answers you give. Your price itself is set by fixed pricing rules, not by the AI.

Bookkeeping automation

We use an automation service (Make) and an AI service (Anthropic) to help categorize transactions in your QuickBooks Online file and to draft questions and summaries for our bookkeepers. We send them only the information needed for this work.

Text messages

We only text people who opt in, and only about their quote, sign-up, account, payment links and questions about their books. We never send marketing texts. Mobile numbers and text opt-in information are never shared with or sold to third parties for marketing. Reply STOP to opt out or HELP for help. Message and data rates may apply.

Who we share information with

Only the providers that help us deliver our service: Intuit (QuickBooks Online), Stripe (payments), Google (email and website analytics), Calendly (scheduling), Anthropic (AI for price estimates and bookkeeping automation), Make (bookkeeping automation), Resend (sending email), Quo (text messages), Lovable (website hosting and database), and the bookkeepers working on your account, who are bound by written confidentiality agreements and may be located outside the United States. We do not sell your information.

Retention and deletion

We retain records for as long as needed to service your account and satisfy record-keeping obligations. You can request a copy or deletion of your information at any time.
